You should write thank you notes to show appreciation for someone supporting you to acknowledge a gift, donation, or service, or to provide recognition to someone who has done a good deed. The steps to writing a thank you letter can be very easy and completed in a short time.
Step 1: Identify to whom this appreciation letter is designated. Whether it’s a scholarship organization, individual, etc., attaching a name to your letter is most appropriate.
- Example: Dear Art Sphere,
Step 2: Next, explain why you are thanking them. Mention what they bought, gave, or did for you. This reasoning is always important to do first.
Step 3: Then explain why you appreciate them. Maybe they supported you, were thoughtful and gave a gift, or went out of their way to help you. These are just some examples.
Step 4: Explain how you plan to use the gift or service and why their action was important to you.
- Example: You will use it to save for college, you really enjoy playing the game, you can’t wait to go shopping with the gift card, you know you have a great chance at the scholarship because of this letter of recommendation, etc.
Step 5: Give a comment or detail about yourself, an update on your life, or a positive comment. This is a great time to share news on your life or to add a positive remark about the recipient.
Step 6: Repeat your expression of thanks. You may leave this out if you sign “With Thanks” at your closing.
Step 7: Use a closing and signature of your name, such as, With Thanks, Name or Sincerely, Name.
